In what states is the Property Condition Report experience available?

The Property Condition Report is available to users in 24 states: Alabama, California, Colorado, Delaware, Florida, Idaho, Illinois, Indiana, Iowa, Kentucky, Minnesota, Missouri, Mississippi, North Carolina, New Hampshire, New Mexico, Ohio, Oklahoma, Oregon, Pennsylvania, Utah, Rhode Island, South Carolina, Tennessee.

We expect to expand to other states in the near future. Please check back if you do not see your state listed.

 

What is the process for filling out the Report?

There are four basic steps to complete to fill out the report:

  1. Add landlord and tenant's information
  2. Create a floorplan
  3. Add + rate items for all associated rooms
  4. Review and send for signing

It is recommended that the landlord and tenant rate the items within a space as part of the move-in process. If any edits or modifications need to be made, the landlord must Cancel the Report which will save all associated information on the Report (floorplan, items, ratings, etc) and allow the landlord to make any necessary changes. Once completed, the landlord can send out an updated Property Condition Report for the renter to sign.

 

How do I see a preview of my Report?

A preview can only be viewed once all items across the floorplan have been rated and reviewed. A pdf version of what the report looks like can be seen before it’s sent for signing to your tenants.

 

Can a renter fill this out on their own?

We have designed the experience to be done together between the landlord and renter at the time of the walkthrough. There is currently no way for the renter to fill the form out on their own, though we do have plans for that in the future.

 

How many Property Condition Reports can I make at one time?

A user can only have one Property Condition Report in progress at any time. If you decide you want to start from scratch, we will save your floorplan but any photos, ratings, and reviews will be deleted. The “Past Reports’ section allows you to view past signed reports.

 

Web Users

If you are accessing Zillow Rental Manager through the website, follow these steps to access your Property Condition Report:

  1. Go to your Property Dashboard.
  2. Click on the "Leases" tab.
  3. Look for the specific property you want to access the report for.
  4. Click on the "Property Condition Report" link.

 

Zillow Rental Manager App Users

If you are using the Zillow Rental Manager app, you can access your Property Condition Report through the app. Here's how:

  1. Open the Zillow Rental Manager app (available on the App Store and Google Play store).
  2. Navigate to the "Properties" tab.
  3. Find the property you want to access the report for.
  4. Tap on the "Property Condition Report" option.

 

Adding Custom Rooms or Items

Yes, you can add your own custom rooms or items to a given space in the Property Condition Report. Zillow Rental Manager makes it easy for you by providing suggestions based on your input. We have also included a default list of rooms and items on a per-room basis to help you build the floorplan easily.

 

Using the Property Condition Report with an Uploaded Lease

Yes, you can use the Property Condition Report even if you have uploaded your own lease instead of building one through our platform. A lease is not required to use the Property Condition Report feature.

 

Replacement Cost Information

At the moment, the inclusion of replacement costs in the Property Condition Report is not supported. However, we are actively exploring this feature and plan to offer it in the future. Stay tuned for updates!

Can a Landlord Disable the "Repair Required" Option?

No, it is not possible for a landlord to turn off or modify the statuses associated with a given item in the Property Condition Report. If an item is marked as anything other than "Good," a note and photo must be provided to support the assessment. The maximum amount photos that can be added is 8.

 

Sharing the Report with Someone Else to Fill Out

Currently, only the landlord has the ability to send the Property Condition Report to the renter. If additional parties are required to fill out the report, renters should inform the landlord.

 

Making Addendums or Changes to the Report

If any addendums or changes are necessary after the initial report has been completed, the landlord must cancel the Report. This action will save all associated information, including the floorplan, items, and ratings. Once the necessary changes have been made, the landlord can send out an updated Property Condition Report for the renter to sign.
